The Role
We are looking for an HR Associate to anchor the people operations function out of our Bengaluru office. This is not a support role. You will own the full employee lifecycle – from the moment we begin sourcing a candidate to the day someone exits the firm – and you will do it across geographies and seniority levels simultaneously.
The work spans global senior hiring, day-to-day staffing operations, structured onboarding, HR compliance, and thoughtful exit management. You will work directly with the Chief of Staff and interface with senior leadership across all offices. The role carries real responsibility from day one.
Key Responsibilities
Recruitment and Senior Hiring
- Own end-to-end recruitment for roles across Bengaluru, New Delhi, Dubai, London, and New York, from VP-level advisory hires to analyst and associate positions
- Manage candidate pipelines, screen CVs, coordinate structured interview processes, and maintain clear communication with candidates throughout
- Partner with MDs and the CoS on senior and cross-border hiring: briefing, outreach strategy, offer negotiation, and closure
- Build and maintain relationships with targeted talent sources including boutique IB alumni networks, university placement offices, and specialist recruiters
- Track hiring metrics, manage ATS hygiene, and provide regular pipeline updates to leadership
Onboarding
- Design and run a structured onboarding program that gives new joiners clarity on the firm, their role, the tools, and the culture from their first week
- Coordinate across IT, Finance, and the line manager to ensure readiness on all access, accounts, and equipment before Day 1
- Track onboarding feedback and iterate the program over time
Staffing and HR Operations
- Maintain accurate staffing records across the firm, covering employment status, reporting lines, and role assignments
- Manage leave administration, attendance records, and HRMS hygiene using the firm’s People platform (currently Zoho People)
- Support HR policy implementation and flag compliance gaps proactively
- Assist in workforce planning conversations as the firm scales, including headcount modeling and cross-office allocation
Exit Management
- Manage the full exit process including notice period coordination, documentation, final settlements, asset recovery, and system off-boarding
- Conduct structured exit interviews and synthesise themes for leadership review on a quarterly basis
- Ensure a respectful, professional experience for every departing employee regardless of the circumstances
Culture and Cross-Border People Operations
- Act as a cultural connector across a globally dispersed team: understand what matters to employees in India vs. UK vs. USA, and reflect that in how you communicate and operate
- Manage employee engagement touch points – work anniversaries, celebrations, team events – with appropriate local and global sensitivity
- Support the rollout of firm-wide HR initiatives including policies, appraisal cycles, and culture programs
What We Are Looking For
Experience and Background
- 3 to 6 years of HR experience in a fast-moving environment – boutique investment banking, financial services, a high-growth startup, or a professional services firm
- Demonstrable experience handling end-to-end recruitment, including senior or specialist roles
- Familiarity with core HR processes: onboarding, documentation, compliance, exit management
- Prior exposure to a multi-office or cross-border work environment is a strong advantage
Skills and Attributes
- Exceptionally clear communicator – written and verbal – with the confidence to engage senior stakeholders directly and without hand-holding
- High cultural intelligence: comfortable navigating the nuances of a globally distributed team while staying grounded in what the local team needs
- Organized, detail-oriented, and capable of managing multiple hiring pipelines and operational workstreams simultaneously without dropping threads
- Discreet and professional: HR at a boutique firm means handling sensitive information about people, compensation, and performance with complete confidentiality
- Proactive rather than reactive – you identify what needs doing before being asked, and you follow through
Digital and AI Fluency (Preferred)
- Comfortable working across digital HR tools including HRMS platforms, ATS systems, and collaboration software
- Familiarity with AI tools for productivity – drafting, research, communication – is a material advantage at Novistra, where the firm actively integrates AI into day-to-day operations
- Ability to pick up new platforms quickly and a general orientation toward working smarter with the tools available
